Operations Associate

Location: Silver Spring, MD


HIAS seeks an Operations Associate to assist HIAS’ Operations team by providing administrative, logistical and event planning support. The Operations Division includes the Office of the General Counsel, Safety & Security, Human Resources, Administration and Internal Communications. The Operations Associate works closely with the Operations Leadership Team to maintain organizational records and ensure smooth and positive operations.


  • Supports planning for divisional and task force meetings and documents notes.

  • Prepares internal reports and presentations; may contribute to external reports and presentations as needed.

  • Performs administrative tasks for members of the Operations Leadership Team as prioritized by the Chief Operating Officer.

  • Schedules department meetings, brown bags and other events for HIAS staff, as requested.

  • Provides administrative support for cross-divisional projects, including the crisis management team.

  • Performs travel security assessments within the HIAS travel management system.

  • Supports maintenance of travel management system within the Microsoft 365 environment.

  • Schedules travel security briefings as required.

  • With support from Safety & Security, updates travel security briefings.

  • Serves as back-up to the Culture & Communications Specialist, creating staff newsletter and intranet content and ensuring that staff communications are circulated.

  • Facilitates HIAS Learns, the internal staff learning webinar series.

  • Serves as a back-up to the Office Assistant by answering phones and directing callers to appropriate departments, as necessary; serves as receptionist when Office Assistant is out of office.


  • Undergraduate degree required.

  • 2-3 years of experience working at a nonprofit, preferably with administrative and event planning responsibilities, or equivalent experience.

  • Excellent interpersonal, written and oral communication skills.

  • Spanish proficiency required. Language ability in French, Hebrew or Arabic a plus, but not required.

  • Ability to travel between Silver Spring and other locations, as necessary; willingness to work weekends, as needed.

  • Ability to prioritize and multi-task between projects and manage time effectively in a fast-paced environment to meet tight deadlines; flexibility and ability to work effectively with limited supervision.

  • Demonstrated interest in refugees, human rights or social justice.

  • Excellent oral, written and problem-solving skills.

  • Proficiency in Microsoft applications, including Word, Excel, PowerPoint and Outlook; excellent research skills.
