Project Assistant - Aruba

Department: HIAS Aruba
Location(s): On-Site - Oranjestad, Aruba

HIAS seeks a Caribbean Project Assistant to support the implementation of program activities, communicating with project stakeholders and forcibly displaced and stateless persons (FDSPs), and the generation of reports (statistical and narrative) of the Caribbean Islands.

ESSENTIAL FUNCTIONS:
Service mapping
• Conduct research on and update service mapping database based on prioritized countries and thematic areas.
• Support the team to locate services based on current needs of FDSPs.

Communication with stakeholders
• Schedule meetings with stakeholders in the relevant islands of the Caribbean project.
• Prepare for meetings with stakeholders in the relevant countries of the Caribbean project.
• Keep minutes of all meetings.
• Communicating with organizations via email and phone calls to organize capacity building sessions.

Communication with FDSPs
• Answering phone calls and text messages from FDSPs.
• Assist in managing the Caribbean inbox by answering emails from FDSPs.
• Disseminating surveys and evaluation forms to FDSPs.
• Assist in conducting remote surveys and interviews in English and in Spanish with FDSPs.
• Assist in dissemination of digital information about HIAS’ services and programs and awareness materials to FDSPs.
• Communicate with participants of in-person and remote (online) activities organized by HIAS.
Reporting
• Assist in drafting project reports.
• Assist with indicator reporting in Excel and Kobo.
• Acts as interpreter and translator, (surveys, questionnaires, letters in Spanish-English and vice versa) as needed.

Support with field visits.
• Assist with necessary arrangements to execute field visits (agenda, arranging meeting spaces and refreshments, materials for workshops and discussion groups).
• Assist in gathering FDSPs for focus group discussions.
• Assist in drafting mission reports.
• Perform other duties, as delegated by the line of supervision.

QUALIFICATIONS & REQUIREMENTS:
• Higher education degree or equivalent.
• A minimum of 1 years’ working experience preferably in one of the following sectors: social, charity, government, or NGO.
• Current residency in Aruba and/or prior work authorization in Aruba required.
• Knowledge of the displacement situation in the Caribbean Islands.
• Excellent computer skills.
• Proficiency in Microsoft office suite (Word, PowerPoint, Excel, Outlook).
• Excellent communication skills
• Excellent organizational and problem-solving skills.
• Must be a team player and able to work with a range of diverse, vulnerable populations.
• Passionate about HIAS’ mission and values.
• English & Spanish required.
• Willingness to travel.
