Records Manager

Department: Data Protection
Location: Silver Spring, MD

POSITION SUMMARY:

HIAS seeks a Records Manager to manage data systems across the global organization. This position will help HIAS improve records retention by working in collaboration with headquarters departments and country offices to identify capacity gaps and build, unify or innovate a framework for systemic records management.

ESSENTIAL FUNCTIONS:

  • Oversees organization-wide records management, ensuring implementation of the HIAS Records Retention Policy and associated policies and procedures.
  • Supports the Director, Data Protection & GDPR in promoting a culture of data protection compliance across the organization.
  • Promotes and supports compliance with organizational records management policies.
  • Researches industry best practices and makes proposals to improve existing tools and systems used by the organization to support knowledge generation and sharing.
  • Coordinates trainings for global staff involved in data handling and processing to ensure consistency and coherence across the organization.
  • Captures key decisions, opportunities, and challenges that country offices take related to data protection compliance.
  • Manages data and records to be directed to the organizational archives and coordinates with external archive partners.

QUALIFICATIONS & REQUIREMENTS:

  • Undergraduate degree required; graduate degree preferred.
  • 4-6 years of experience working in information systems, data management and/or knowledge management.
  • Experience working in the international context preferred.
  • Strong project management skills.
  • Prior success in supporting multiple departments in maximizing utility of existing systems and information.
  • Ability to work well under pressure and manage sensitive and confidential information.
  • Strong working understanding of both digital and traditional information management systems, and an ability to work closely with technical partners in the Information Technology team.
  • Excellent verbal and written communication skills, with strong attention to detail.
  • Great interpersonal skills and ability to work well both independently and as part of a team.
  • Fluency in English required; proficiency in Spanish and/or French preferred.
