TITLE: Administrative Associate

REPORT TO: Finance Coordinator (day to day), HR Manager and Finance and Accounting Manager (programmatically)

LOCATION: Zagreb, Croatia

HIAS is the global Jewish non-profit that protects refugees whose lives are in danger for being who they are. We help refugees build their lives and advocate that all displaced people are treated with dignity. The HIAS Austria office as the Resettlement Support Center (RSC) processes refugee cases for resettlement to the US through a contract with the US State Department. The RSC Austria also operates two sub-offices in Tel Aviv, Israel and Zagreb, Croatia to process refugees for resettlement to the US.

PURPOSE OF THE ROLE:

To provide varied support to the Program Support team in the Croatia sub-office

Responsibilities:

  • Act as the office receptionist and first point of contact for visitors while being responsible for maintaining office visitor records and escorting visitors in the office space
  • Support human resources processes by scheduling appointments and interviews, sending regular correspondence with applicants and staff, supporting onboarding and orientation, maintaining records of documents and trainings, participating in HR-related projects
  • Provide on-site HR support in coordination with the HR manager by responding to frequently asked questions from applicants and staff related to policies, benefits, hiring processes, etc., and escalating more complex questions and concerns
  • Co-responsible for maintaining the time system and compiling payroll information on a monthly basis for Supervisors’ review
  • Prepare payments in the bank account online for review and maintain related documentation
  • Coordinate travel with staff members and travel agent to ensure travel policies and budget restrictions are followed
  • After travel, work with travelers to complete expense report and confirm that all travel time is properly recorded
  • Evaluate suppliers, products, and services, negotiate contracts, and ensure that approved purchases are cost-efficient and of high quality
  • Follow strict procurement procedures and maintain procurement documentation
  • Act as one of the points of contact for purchasing questions from suppliers
  • Work with other administration staff members to maintain accurate inventory records
  • Proactively seek out additional tasks and projects that would support the program support team
  • Any other task as assigned by the Supervisors

Key skills and attributes:

  • Professional fluency in English and Croatian
  • Prior administrative experience in a diverse working environment
  • Prior HR and/or Finance experience would be considered an advantage
  • A flexible, mature and professional attitude to work
  • Highly organized and able to manage multiple, conflicting priorities
  • Strong planning skills – able to think ahead to likely future requirements
  • Excellent problem solving skills – able to find information required to make decisions confidently
  • Strong attention to detail – able to understand contracts and supplier agreements
  • Discreet and highly professional
  • Able to use judgment in deciding whether to escalate an issue

This position is 100% in office and remote work is not possible.
